How to connect Cloudbeds with Hotapp.io

This guide walks you through connecting your Cloudbeds account to Hotapp.io so that Hotapp.io can read your reservations, guests, and property information — and start syncing your hotel's guest mobile app and operations automatically.

The connection takes about 2 minutes and is done entirely from the browser.

Before you begin

You need an active Hotapp.io account.

If you don't have one yet, please contact us first so we can set things up for you:

You'll also need admin access to your Cloudbeds account — specifically a user role with the Connect Apps (Marketplace) permission enabled. Usually this is Property Owner / Administrator.

How to connect

Pick whichever option works best for you:

Solution A — Connect from Cloudbeds

  1. Log in to your Cloudbeds account.
  2. Go to Apps & Marketplace.
  3. Select Hotapp.io from the list of supported app partners.
  4. Click Connect.
  5. Review the permissions Hotapp.io is requesting (see below), then click Allow Access.
  6. You'll be redirected back to Hotapp.io to complete the connection. Your first reservation sync will start within seconds.

Solution B — Connect from Hotapp.io

  1. Log in to your account at hotapp.io.
  2. Go to Settings → Integrations → PMS Connection.
  3. Select Cloudbeds from the list of supported PMS providers.
  4. Click Connect to Cloudbeds. You'll be redirected to Cloudbeds to log in (if you aren't already) and approve the connection.
  5. Review the permissions Hotapp.io is requesting (see below), then click Allow Access.
  6. You'll be redirected back to Hotapp.io with the connection active. Your first reservation sync will start within seconds.

That's it — Hotapp.io will now automatically receive new reservations and guest information from Cloudbeds as they happen.

What data Hotapp.io reads from Cloudbeds

Hotapp.io requests read-only access to the following objects in your Cloudbeds account. Nothing is written back to your Cloudbeds account, which means Hotapp.io cannot modify or delete anything in your Cloudbeds account — by design.

ObjectPermissionWhy Hotapp.io needs it
HotelReadBasic property details (name, address, check-in/out times, policies, timezone) to answer guest questions and display property information accurately.
RoomReadRoom names, types, and numbers so Hotapp.io knows which room a guest is staying in.
ReservationReadBooking dates, status, check-in/out times, and assigned room so the app reflects the guest's current stay.
GuestReadGuest name, language, email, and phone number to verify bookings and personalize the guest experience in their language.
CommunicationReadExisting guest messages and reservation notes so staff have full context before assisting guests.

Hotapp.io does not request access to payment cards, invoices, financial transactions, house accounts, rates, user roles, or any other Cloudbeds object. What's listed above is the complete list.

Frequently asked questions

Can Hotapp.io change my reservations or charge my guests?

No. Hotapp.io has read-only access. It cannot create, modify, cancel, or delete reservations, and it has no access to payment methods or invoices. Hotapp.io only reads information to power your guest mobile app and staff operations.

How often does Hotapp.io sync with Cloudbeds?

Right after connecting, Hotapp.io runs a one-time sync of your property setup and active reservations. After that, it listens for real-time updates for new reservations and changes to existing ones. Changes are reflected in Hotapp.io within seconds — no manual sync needed.

Do I need to stop using the Cloudbeds guest messaging inbox?

No. Your Cloudbeds inbox continues to work normally with OTAs (Booking.com, Airbnb, Expedia) and any other channel. You can continue using your Cloudbeds messaging tools alongside Hotapp.io whenever you want to.

What happens to my data if I disconnect?

Disconnecting immediately revokes Hotapp.io's access to your Cloudbeds account. Your historical activity in Hotapp.io is preserved so you can reconnect later without losing history, or if you cancel your Hotapp.io subscription, data is retained for 90 days before being permanently deleted.

How do I disconnect?

Two options, either one works:

  • In Cloudbeds: My Applications → Hotapp.io → Disconnect
  • In Hotapp.io: Settings → Integrations → PMS Connection → Disconnect Cloudbeds

Does Hotapp.io work with multi-property groups?

Yes, Hotapp.io works with multi-property groups. Please contact support@hotapp.io if you would like to connect to Cloudbeds and you have a multi-property setup.

The connection failed or reservations aren't appearing. What now?

First, go to Settings → Integrations → PMS Connection → Health Check in Hotapp.io. If the token has expired, click Reconnect to refresh the authorization. If the issue persists, contact us on WhatsApp at +66 98 305 9993 or email support@hotapp.io — we typically respond within a few hours.

Is my data secure?

Yes. The connection uses Cloudbeds' official OAuth 2.0 flow, meaning Hotapp.io never sees your Cloudbeds password. All data in transit and at rest is encrypted (HTTPS / TLS 1.2+). Guest personal data is processed in accordance with GDPR and applicable data protection laws. See our Privacy Policy for full details.

Do I need a developer to set this up?

No. The whole process is point-and-click and takes about 2 minutes. No API keys, no code, no technical setup required.

What if I change my Cloudbeds password?

Nothing breaks. The connection uses an OAuth token, not your password, so password changes don't affect the integration. The only time you'd need to reconnect is if you explicitly revoke Hotapp.io's access in Cloudbeds.

Can I test the integration before going live with real guests?

Yes. When you first connect, your integration starts in sandbox mode. It will sync your Cloudbeds data and let you test everything, but won't send anything to guests until you flip the switch to Live mode. You can review synced stays, test guest requests, and verify everything before going live.
